Built-in warmup connects a customer's mailboxes to a shared pool where they send emails to each other automatically. Recipients open them, move them out of spam, and reply, so the mailbox builds a history of positive engagement before (and while) it sends cold email. Buyers expect it free: every volume tool bundles it, and new domains are useless without some ramp.
How it works
The vendor runs a network of mailboxes, made up of every customer's connected accounts plus, sometimes, vendor-owned seeds. Each enrolled mailbox sends a small, rising number of auto-generated emails a day to other pool members. Pool members' bots open them, mark them "not spam" and reply at a set rate. A filter tag or identifier lets the system (and the user) hide warmup traffic from the real inbox.
Instantly's defaults show the shape: 10 warmup emails a day for new accounts, increasing by 1 a day, with a 30% reply rate, plus a weekdays-only mode and a filter tag. lemlist requires a warm-up score of 90+ and then 14 days of stabilisation before a mailbox joins campaign rotation.

The suites (HubSpot, Outreach, Apollo) are a different story. Prospeo's 2026 table says HubSpot has no native warmup. That is a competitor blog, and the Apollo and Outreach positions are unverified.
Instantly claims its Premium pool gave a 9% improvement in reply rates versus standard pools, from its own internal analysis. It is vendor-claimed and has no published methodology.
Where implementations differ
- Pool quality is the new upsell. Because free warmup is everywhere, vendors now sell who you warm with: aged Google and Microsoft accounts (Instantly Premium), a private pool of your own accounts (Instantly Private, EmailBison, PlusVibe), or industry clusters (lemwarm Smart). Instantly's Private pool requires at least 50% Google/Outlook accounts. Pools full of cheap SMTP mailboxes do little for placement at Gmail and Microsoft.
- Footprints. lemwarm inserts the word
lemwarmupinto warmup subject lines. lemlist itself recommends turning that off because it "removes the visible footprint", and doing so moves you to a separate pool. Instantly uses a configurable filter tag. Any fixed marker is something a mailbox provider can fingerprint. - Scores. lemwarm's deliverability score is "a weighted composite of technical setup, spam rate on warm-up traffic, mailbox age and blacklist status". It is not an inbox placement rate. Most warmup "health scores" measure placement within the warmup pool, not with real prospects.
Risks and abuse
Warmup is, mechanically, coordinated fake engagement, which mailbox providers' policies are written to stop. Its effectiveness and its risk are both disputed. See Does warmup work? and Provider crackdowns. Specific risks:
- Network contamination. Pools mix good and burnt mailboxes, so a bad neighbour drags everyone down. That is the stated rationale for paid premium and private pools.
- Detectability. Subject identifiers, filter rules and templated content are signatures, as lemlist's own documentation concedes.
- False confidence. High warmup scores coexist with spam placement on real campaigns, because the pool is not the audience. Inbox placement testing is the cross-check.
Warmup networks have network effects but no pricing power: the biggest free pool has been given away by every competitor. The value has moved to verified pool quality and to the reputation data a large pool generates, which no vendor currently exposes.
What this means for an entrant
- Do not try to out-network Instantly on warmup. Integrate an independent warmup provider or white-label one at launch (Warmup networks, MailReach). Build your own only if it is a by-product of real sending scale.
- Offer warmup free. Charging for basic warmup is a non-starter against unlimited bundles.
- Default to no visible identifiers, randomised content, and ramps that count toward the mailbox's real daily total (Sending limits and throttling).
- Make the honest claim: warmup score is not placement. Pair it with real-traffic signals (Inbox placement testing, Bounce protection). That framing differentiates you with sophisticated buyers.
- Watch policy. If Google or Microsoft publicly acts against warmup networks, bundled warmup becomes a liability overnight. Keep it modular (Kill criteria).
