A real differentiator for the agency segment, and every incumbent's version has a visible flaw — per-client fees, leaky scoping, or no AI.

White-labelling lets an agency present the sending platform as its own: custom domain, its logo, client logins that never mention the vendor. Agencies care because clients who see "Instantly" in the URL ask why they're paying a retainer, and because client logins replace weekly screenshot reports.

Lead-gen agencies are the core buyer of volume cold-email tools, so white-label is where the volume players fight. Each has made a different trade-off.

How it works

The agency points a subdomain (e.g. app.agency.com) at the vendor by CNAME, uploads branding, and invites clients with scoped permissions: see campaigns, see replies, see analytics, maybe edit. Underneath, each client is a workspace or sub-account (Workspaces, roles and SSO). Billing usually stays with the agency.

EmailBison's homepage lists a "Reseller" role and isolated workspaces but does not describe custom-domain branding, and emailbison.com/white-label returned 404 in October 2026. Its white-label depth is unverified.

Where implementations differ

  • Scoping. Instantly's portal has a hard limit: "Clients with Campaigns access will be able to see all campaigns in the workspace, there's no way to restrict their access to only certain campaigns." Running several branded portals "require[s] separate workspaces and subscriptions" (Instantly help). An agency with 20 clients either runs 20 subscriptions or lets clients see each other's work.
  • Pricing per client. Smartlead and Woodpecker tax growth: 20 clients cost $580/mo in Smartlead workspace fees on top of the plan, or $640/mo in Woodpecker panel and white-label fees. EmailBison and Instantly don't charge per client.
  • Isolation. EmailBison sells infrastructure isolation (single-tenant clusters, dedicated IPs) as part of the agency pitch; the others isolate data per workspace on shared infrastructure.
  • Invites. Instantly sends no automatic invitation emails, "to maintain white-label anonymity" — agencies distribute links by hand.
  • AI inside the portal. None of the vendors documents a client-facing approval queue for AI replies, which is what an agency would want before letting an agent speak for a client (AI reply agent).

Risks and abuse

White-label also hides who is really sending. Mailbox providers and regulators look through branding to the infrastructure, and a reseller network can let bad actors rent a clean brand. Vendors carry Platform liability: what the sequencer itself risks for what resellers send under provider acceptable-use policies. For an EU vendor, every reseller's client is another controller in the GDPR chain.

What this means for an entrant

  • Agencies are the buyer most willing to switch; a better white-label is a direct wedge into Lead-gen agencies.
  • Price flat, not per client — Smartlead's $29–39/workspace and Woodpecker's $32/client are the numbers to undercut.
  • Fix scoping: per-client campaign, inbox, reply and analytics visibility in one account, with no extra subscription.
  • Add the agency jobs nobody covers: client rebilling (usage passed through with markup), client-facing reply approval, branded weekly reports.
  • Keep AUP enforcement per reseller with suspension controls; a white-label platform that hosts spammers loses its sending reputation for everyone (Reputation and blocklists).
